The customer balance app

A read-only app where each customer signs in with their phone number, a password and your shop code to see their own khata, and what to enter before you hand it out.

Polaris includes a read-only app for your customers. The customer signs in with their phone number, a password and your shop’s code — the shop code is why one phone number can belong to several Polaris shops without the balances ever mixing. Inside, they see their own khata: bills, refunds, quotations, loyalty, and 9 views of how they are actually paying you. Nothing else, and nothing they can edit.

The app reads from the same ledger you bill from. Record a payment and that is the balance the customer sees; there is no separate list to update and no second ledger to maintain.

The point is the phone calls. A customer who can check their own balance does not call the shop to ask what they owe, and a balance both sides can see leaves less room for argument when it is time to settle.

For the formal document, the Customer Statement PDF is separate: a period statement with the running balance and aging buckets, shareable over WhatsApp like every Polaris document. The app is for the everyday check; the statement is for sitting down and settling.

What to have ready

  • Customers entered in Polaris with their phone numbers.
  • Opening balances entered, so the first balance a customer sees is the true one. We enter these with you during onboarding.
  • A decision on who gets access first. It earns its keep with regular udhaar customers; a walk-in has no balance to check.

What Polaris handles, and what we do with you

The app, the sign-in, and the live balance are Polaris’s job. Introducing it to your customers is yours, and starting with one regular credit customer is a reasonable first test.
