The rules that govern your use of Polaris ERP

1. Acceptance of terms

By accessing or using Polaris ERP, you agree to be bound by these Terms of Service. If you disagree with any part of these terms, you may not access our service. Your continued use of the platform constitutes acceptance of these terms.

2. Description of service

Polaris ERP is a cloud-based business management platform designed for Pakistani businesses. Our service provides:

  • Billing and invoicing, with the FBR Annexure C export under your STRN
  • Inventory management with batch tracking
  • Customer relationship management and loyalty programs
  • Business analytics and reporting tools
  • Multi-user access with role-based permissions

3. Your account

When creating an account with Polaris ERP, you agree to:

  • Provide accurate, current, and complete information
  • Maintain and promptly update your account information
  • Keep your password secure and confidential
  • Be responsible for all activities under your account
  • Be at least 18 years old or have parental consent
  • Use one account per business entity

4. Acceptable use

You agree not to use Polaris ERP for any unlawful or prohibited activities. Specifically, you may not:

  • Use the service for any illegal purposes or to violate any laws
  • Share your account credentials with unauthorized users
  • Attempt to access other users' data or accounts
  • Reverse engineer, decompile, or disassemble the software
  • Upload malicious code, viruses, or harmful content
  • Use the service to send spam or unsolicited communications
  • Interfere with or disrupt the service or servers

5. Payment terms

Our subscription-based pricing model includes the following terms:

  • Subscription fees are billed monthly or annually in Pakistani Rupees (PKR)
  • Prices are subject to applicable taxes as per FBR regulations
  • No refunds are provided for partial months of service
  • We may change pricing with 30 days advance notice
  • Payment is due at the beginning of each billing cycle
  • Late payments may result in service suspension
  • Annual subscriptions offer discounted rates

6. Data ownership

Your business data belongs to you. We grant ourselves a limited license to use your data solely to:

  • Provide and maintain the service
  • Generate reports and analytics for your business
  • Comply with legal requirements

You retain all ownership rights to your data. We will not sell or share your data with third parties except as outlined in our Privacy Policy.

7. Service availability

We do not publish an uptime figure, because we do not yet run the monitoring that would let us stand behind one. What we do commit to:

  • Scheduled maintenance is announced in advance
  • When the service goes down we tell you, and we tell you what we changed so it does not happen again
  • While the service is up, you can export your own records from the app at any time
  • We are not liable for downtime caused by factors beyond our control

8. Limitation of liability

To the maximum extent permitted by law:

  • Our total liability is limited to the fees paid in the last 12 months
  • We are not liable for indirect, incidental, or consequential damages
  • We do not guarantee that the service will be error-free
  • You are responsible for maintaining your own data backups
  • We are not liable for any business losses or damages

9. Termination

Either party may terminate this agreement with proper notice:

  • Message us on WhatsApp to cancel. No notice period, no exit fee.
  • We may suspend service for non-payment or terms violations
  • Message us on WhatsApp within 30 days of termination and we export your data for you — we run that export by hand, there is no automated retention job
  • After that window, your data may be permanently deleted
  • Prepaid fees are non-refundable upon termination
  • We reserve the right to terminate accounts that violate these terms

10. Governing law

These Terms of Service are governed by and construed in accordance with the laws of Pakistan. Any disputes arising from these terms will be subject to the exclusive jurisdiction of courts in Lahore, Pakistan.

11. Changes to these terms

We reserve the right to modify these Terms of Service at any time. We will notify users of any material changes by:

  • Posting a notice on our website
  • Sending an email notification to your registered email
  • Updating the "Last updated" date at the top of this page

Your continued use of the service after such modifications constitutes acceptance of the updated terms.
